SUMMARY OF RESPONSIBILITIES
The Executive Assistant provides high-level administrative support to the Chief Operating Officer (COO) and ensures efficient coordination of day-to-day operations. This role includes managing schedules, preparing documents, assisting with communications and meetings, and supporting departmental functions with professionalism and discretion. The Executive Assistant may also serve as a liaison with internal teams and external partners on behalf of the COO.
KEY RESPONSIBILITIES
- Provide direct administrative support to the COO.
- Manage and maintain the COO’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Draft, edit, and manage documentation including policies, reports, presentations, and meeting materials.
- Coordinate logistics for meetings, committees, and internal/external events including materials, agendas, calendars, and communications.
- Maintain organized digital and physical files and departmental records.
- Serve as point of contact for internal and external communications on behalf of the COO.
- Assist with the preparation and tracking of departmental budgets and reports.
- Support Operations and Executive team with administrative tasks when applicable.
- Perform other duties as assigned.
QUALIFICATIONS
- Minimum of 5 years of experience in an executive or senior-level administrative support role.
- Associate degree required; Bachelor’s degree preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with integrity and professionalism.
- Demonstrated ability to work independently and collaboratively across departments.
COMPENSATION
Salary: $75,000
PHYSICAL DEMANDS / WORK ENVIRONMENT
